Events

How do we collect your information?

We will collect personal information from you when you sign up to participate in an INTRAC event. We will only collect the information we need in order to: process your event registration; make practical arrangements at the venue (face-to-face events); ensure that you receive joining instructions (online events); and to undertake post-event monitoring and evaluation. The personal information we collect may include but not be limited to:

  • Your contact details
  • Information about your current work and previous experience
  • Accessibility requirements
  • Dietary requirements
  • Visa status
  • Billing information (where relevant)

What do we do with your information?

We will securely store your personal information for as long as is required to fulfil contractual obligations to you or legal requirements as an organisation.

Where necessary to facilitate your participation in the event, we will share relevant information from your registration with:

  • the INTRAC Finance Team (to prepare invoices and process payments)
  • the INTRAC Research, Training, Consultancies, and Administration Teams (to conduct post-event and monitoring and evaluation)
  • the event venue (to ensure that accessibility and dietary requirements are met)
  • the event accommodation (to process bookings and to ensure that accessibility and dietary requirements are met)
  • event/webinar partners and participants

We will never sell your information. We will not share your information beyond the above unless required to do so by law or in relation to financial processes.

We will only use your personal contact details to contact you about your event registration, and/or payment, and/or practical arrangements for attending and completing the event. We will not use your contact details for the purposes of INTRAC marketing or news.

Training

How do we collect your information?

We will collect personal information from you when you complete a secure online application to attend an INTRAC training course. We will only collect the information we need in order to: ensure suitability for the course; process your training course application; make practical arrangements at the course venue; and to undertake post-course coaching and monitoring and evaluation. The personal information we collect may include but not be limited to:

  • Your contact details
  • Information about your current work and previous experience
  • Accessibility requirements
  • Dietary requirements
  • Visa status
  • Billing information (where relevant)

What do we do with your information?

We will securely store your personal information for as long as is required to fulfil contractual obligations to you or legal requirements as an organisation. We will retain your name, the course you attended and the course dates for 25 years in order to verify your attendance and/or provide you with a replacement certificate. Please contact us at info@intrac.org if: you do not want us to keep your name on file; you wish to see a copy of our data retention policy; or if you have any other query regarding the data we hold on you.

Where necessary to facilitate your participation in the training course, we will share relevant sections of your application form with:

  • the INTRAC Training Team and course trainer (to assess suitability for the course and conduct post-course coaching and monitoring and evaluation)
  • the INTRAC Finance Team (to prepare invoices and process payments)
  • the course venue (to ensure that accessibility and dietary requirements are met)
